Recipe 17 - The Market-Wide Contact Miner: Turn an Events Database Into a Named Outreach List
Turn an Events Database Into a Named Outreach List
From The Spiral Sales Office Recipe Vault | By Paul Woodley
A market-wide meetings and events export is one of the most underused prospecting tools in hotel group sales. Most properties subscribe to an events intelligence service, extract the data occasionally, and review it as competitive information: where events are going, which venues are busy, which competitors are winning the business.
That framing leaves the most valuable thing the data contains sitting untouched: the names, titles, and contact details of the planners who organised those events and are already planning the next ones.
Recipe 17 turns the export from intelligence to action. It filters the data to events that did not book your hotel, builds named outreach for every contact with sufficient detail to personalise, and groups the rest by company and industry so sellers can prospect by segment even when individual contact information is not yet available.
What This Recipe Makes
A prioritised, contactable outreach list built from a market-wide events export, segmented by company and industry for the contact-less rows and ready-to-send outreach notes for every planner with a name and email address.
- Head Chef: DOSM with group sellers
- When to Cook It: Quarterly, timed against the rebooking cycle of the events in question
- Ingredients: A market-wide meetings and events export for the hotel's area, ideally with planner contact fields populated including name, title, email, and phone where available
The Three Outputs This Prompt Returns
- Filtered and Ranked by Event Size - The export filtered to events that did not book the hotel, sorted by attendance or room-block size largest first. The largest events that went elsewhere are the highest-priority outreach targets, both for the revenue they represent and for the rebooking window they create
- Named Outreach Notes - For every row with a real contact name and email, a short specific outreach note referencing the planner's past event including name, approximate date, and size, and inviting them to consider the hotel for their next one. Not a generic group sales letter. A note that tells the planner the hotel knows their event history and sees them as a specific opportunity rather than a cold name on a list
- Industry Segment Groupings for Contact-Less Rows - The remaining rows without individual contact information grouped by company and industry segment. This turns a list of unapproachable events into a segment map that tells sellers which types of organisations are bringing events to the market and where prospecting energy should be directed even before a contact name is found
Why Timing Against the Rebooking Cycle Matters
An event planner who held a conference in October is typically making venue decisions for the following October somewhere between six and eighteen months out, depending on the event size and complexity. Running Recipe 17 on a quarterly cadence timed against when the events in the export typically rebook means the outreach arrives when the planner is in decision mode rather than when the event has already been placed elsewhere.
A call that arrives three months before the decision is a relationship call. A call that arrives three weeks after the event has been confirmed at a competitor is an apology call with very little leverage. Recipe 17 on the right cadence produces the first kind.
The Personalised Note vs the Broadcast
The outreach note this prompt generates is specific to each planner's event history. It references the event name, the approximate date, and the size. That specificity signals something that generic group sales outreach does not: that the hotel knows this planner's history, has taken the time to connect it to the current conversation, and is interested in their specific business rather than in filling need dates with anyone who will respond.
Event planners who receive multiple outreach attempts from hotel sales teams develop a very accurate filter for the ones worth responding to. Personalisation that demonstrates genuine knowledge of their past work passes that filter more reliably than a template with a first name inserted.
Where the Output Goes
Weekly solicitation assignments for group sellers, where the outreach list becomes a structured call plan rather than an instruction to work the market. New target account candidates, where companies or organisations identified in the export become named entries in the prospecting database. Segment prioritisation input for Recipe 20, where the industry groupings from the contact-less rows inform which segments to build action plans around next quarter.
The Mirror
How many events held at hotels in your market last quarter were attended by companies that do not currently book your property? If you do not have a number, the market-wide events export has not been worked as a prospecting tool. Recipe 17 is how you start working it.
A Note on Data Handling
Confirm what your employer, owner, brand, and management company permit before pasting events export data into any AI platform. Planner contact details including name, email, and phone are personally identifiable information and may be subject to data privacy regulations depending on your jurisdiction and the source of the data. When in doubt, use event-level data without individual contact fields and conduct the outreach research separately. Every output is a starting position. The outreach and the relationship decisions still belong to you.
Your Next Step
Pull your market-wide events export for the last ninety days. Filter to events that went to competing venues. Run Recipe 17. Assign the named outreach notes to the group seller whose territory or segment matches each event. Then track how many of those contacts become active funnel opportunities in the next sixty days.
The business that booked a competitor last quarter is not gone. It is rebooking. Recipe 17 is how you get in the conversation before the decision is made again.
